Put Foot Rentals Terms & Conditions

1. STANDARD PUT FOOT SAFARI RENTAL RATES INCLUDE:

1.1 2019 Toyota Hilux, 4×4 0r 4×2, Double Cab, Automatic
1.2 Unlimited kilometers
1.3 Standard insurance cover
1.4 Equipment (Camping, Kitchen, Recovery)
1.5 Full gas bottles where applicable
1.6 Roadside assistance
1.7 Airport transfers before and after the rental (Cape Town only)
1.8 Travel pack including maps, books and relevant information
1.9 All applicable taxes
1.10 Introduction to the vehicle and equipment

2. OPTIONAL ADDITIONAL SERVICES:

2.1 Route planning and booking assistance
2.2 Additional insurance options (see below or rate chart)

3. REQUIREMENTS FOR PUT FOOT SAFARI VEHICLE HIRE:

3.1 Bookings must be made in advance and are subject to availability, a booking is only secured after the deposit is received, or paid in full, and booking form completed. We reserve the right to decline a booking where there may be excessive kilometers or risk put on the vehicle.
3.2 The hirer is required to have a valid passport or identification, a valid driver’s license and a credit card (in the same name) which should be provided for the insurance excess or deposit.
3.3 Copies of these documents must be provided if collecting in remote locations or areas outside of our standard locations.
3.4 The full rental is due 60 days prior to lease commencement (start of the rental). Should rental payment not be made or proof of payment be available we reserve the right to delay the rental until payment is made in full.
3.5 The hirer should disclose the general route or inform us of any special areas or borders that may need to be crossed as this can influence vehicle document preparation.
3.6 You must have a valid credit card in your name which will be used for the deposit.

4. HIRER RESPONSIBILITY ON ARRIVAL:

4.1 Vehicle Inspection: Upon arrival, hirer will have their vehicle inspected and inventories confirmed by a representative of Put Foot Rentals. The hirer is responsible for conducting an inspection for any damages, and confirm inventory is correct as per check sheets provided.
4.2 Equipment Demonstration:The hirer will be provided a demonstration on how to use all equipment found on the vehicle, including but not limited to: camping, kitchen, recover and storage.
4.3 Daily Checks Demonstration: The hirer will be provided a demonstration to include the daily vehicle maintenance procedures and checks that should be carried to ensure safe operation of the vehicle. Checks will include but are not limited to: tyre pressure and condition, oil, and water, lights and spare wheel.
4.4 Special Equipment: The hirer will be provided a demonstration correct operation and stowage of the wheel changing tools, dual battery system operation,
4.6 Pre-Rental Inspection:The hirer is responsible for checks of any and all damages on the vehicles and that it is captured correctly on the diagrams with the Put Foot Rentals representative, when collecting and dropping your vehicle. The Hirer will be required to sign these documents which will be acknowledging their accuracy in determining the existing or new damages.
4.7 Vehicle Handover: Hirer will complete handover of vehicle once they have signed confirmation of vehicle condition and understanding of vehicle, and equipment operating procedures.

5. MINIMUM RENTAL DURATION AND COSTINGS:

5.1 Minimum rental period is 3 days in South Africa and 7 days outside of South Africa at any of the collection points listed below. Minimum rental period for cross border travel from South Africa is 7 5 days. We reserve the right to change minimum rental periods in the case of high kilometer rentals but this will be confirmed prior to booking.
5.2 Each day is a 24-hour period.
5.3 The day of pick up and drop off are counted as full days irrespective of the time collected or returned.
5.4 No refunds are applicable for early returns unless arranged in advance and agreed in writing by Put Foot Rentals.

6. BOOKING DEPOSITS AND PAYMENT TERMS

6.1 A 15% booking deposit is required to confirm a rental, the balance of the full rental is payable prior to or at vehicle collection/handover.
6.2 Only full upfront payments qualify for 10% discount.

7. OFFICE HOURS:

7.1 08h00 TO 17h00 Monday to Friday, Saturday from 08h30 TO 13H00
7.2 Deliveries and collections are included from Monday to Saturday during normal office hours, after hours, on Sundays or public holidays there will be a delivery fee of R400.00 per vehicle/airport transfer.
7.3 Mobile contact numbers are available 24 hours, 7 days a week but please send a text message if you fail to get through.

8. OFFICIAL COLLECTION AND DROP OFF POINTS:

Mozambique:  Put Foot Rally Finish Line, Maputo, Mozambique
South Africa:
Cape Town: Ou Skip Camp, Melkbosstrand, Cape Town.
Johannesburg: Location to be confirmed.

8.1. Vehicles may be dropped off if n the event of an emergency or unplanned change to travel plans, and only with permission from Put Foot Rentals. One-way surcharges will be applicable:

Namibia – Urban Camp. WIndhoek
Botswana: Sitatunga Camp, Maun
Zambia – The Victoria Falls Waterfront
Malawi: Livingstonia Hotel, Senga Bay.

9. ONE WAY DROP SURCHARGES IF APPLICABLE:

9.1 Cape Town, South Africa to:

Johannesburg, South Africa: $ 275
Windhoek, Namibia to Cape Town South Africa: $350
Maun, Botswana: Sitatunga Camp, Maun to Cape Town South Africa: $ 525
Livingstone, Zambia: $725
Livingstonia Hotel Malawi: $1025
Mozambique: Put Foot Finish Line to Cape Town South Africa $625

10. CONDITIONS OF VEHICLE USAGE:

10.1 The Hirer acknowledges that he/she is aware of the purpose for which the vehicle was designed, as well as all safety and maintenance procedures. The Hirer is responsible to look after and maintain the vehicle during use and to return the vehicle in good order, fair wear and tear accepted.
10.2 In the event of the vehicle or any of its belongings being lost or damaged during the rental period, the Hirer shall be liable to cover the cost of replacement or repair.
10.3 Cross border travel – written authorization is required for any travel outside of South Africa.
10.4 Checking the vehicle and signing the contract – it is recommended that the hirer should check the vehicle thoroughly on handover to ensure the vehicle meets with their requirements. On signing the contract the Hirer signs acceptance of the vehicle and equipment.
10.5 The Hirer is in control of the vehicle and is responsible to report any problems or avoid any driving obstacles they are not comfortable to cross or which may put the vehicle at risk. Additional care should be taken in remote areas where recoveries and repair are more difficult to effect. These areas carry higher risk and the hirer assumes this risk when entering these areas. The Hirer should be pro-active prior to entering these areas, do general checks on the vehicle and any noises, new rattles or possible fluid leaks investigated before heading in to remote areas.

11. REPAIRS AND MECHANICAL FAILURES:

11.1 Any and all repairs must be authorized by Put Foot Rentals. Where possible, the vehicle must be checked, maintained, repaired at a Toyota Dealership.
11.2 Where not mobile the vehicle should be moved to the nearest Toyota Dealership or workshop for diagnosis.
11.3 Vehicle may not be towed without permission from Put Foot Rentals.
11.4 Vehicles must be flatbed transported or towed if the vehicle is prepared by a professional.Vehicles are automatic, and therefore require special preparation in order to be towed.
11.5 Any mechanical repair or replacement related to fair wear and tear is covered by Put Foot Rentals. Repairs of up to R2000.00 can be effected without prior authorization. On higher amounts prior authorization is required from Put Foot Rentals. Due to the vastness of the area where vehicles are mobile the hirer is responsible to get the vehicle to the nearest Toyota dealership or workshop.
11.6 Wherever possible hirer must please contact Put Foot Rentals Cape Town head office for any technical issue. We must be aware of the problem in order to try and resolve but you are able to take the vehicle to any workshop and the costs will be refunded. If there are more serious technical issues it is imperative to contact Put Foot Rentals before continuing.
11.7 In most cases vehicles are still covered under the new vehicle manufacturers warranty and their warranty conditions will apply where mechanical failures occur. It is important to remember that Put Foot Rentals is not the manufacturer of the vehicle or equipment but will do its utmost to select and offer the best and most recommended vehicles and equipment as well as ensure the vehicles are fully maintained and checked prior to departure.
11.8 Where serious mechanical failures occur due to standard wear and tear and which cannot be repaired timeously a replacement vehicle will be supplied within 24 hours of diagnosis. This relates to the countries of South Africa, Botswana, Namibia, Zimbabwe, Southern Mozambique and Southern Zambia. In countries further North replacement time is within 72 hours.
11.9 Inconvenience and time loss is not covered for mechanical failures which cannot be anticipated and were not apparent at the start of the rental.
11.10 Towing is covered (depending on insurance option selected) for the countries of South Africa, Namibia. Zambia and Botswana. Hirer is responsible for costs associated with towing from Zimbabwe, Malawi and Mozambique.
11.11 Roadside Assistance: Put Foot Rentals offers contact numbers which are available at most times and will assist with any problem telephonically. Due to the vastness of the Southern African region and the unknown logistics we cannot provide immediate recoveries or technicians to all areas but will rely on local resources and will do our best to ensure speedy repair or recovery.

12. VEHICLE MAINTENANCE REQUIREMENTS:

12.1 The vehicles are all fully serviced and maintained as per manufacturers requirements and Put Foot Rentals
12.2 The hirer is responsible to maintain the vehicle during the rental period. Put Foot Rentals suggests:

12.2.1 Daily Checks:check of tyre pressures, wheel alignment if necessary, oil and coolant levels and to be aware of any symptoms which may arise during the rental period.
12.2.2 Mandatory:If hirer covers 10,000 kilometers during the rental period the Hirer is required to service the vehicle at their expense at a Toyota workshop. Where an official dealer is not available other workshops may service the vehicle with our authorization. The 10000 km service charges are for the hirer and any other repairs related to standard wear and tear on the vehicle will be covered by Put Foot Rentals.

12.3 Should the Hirer become aware of a potential problem with the vehicle it is their responsibility to make contact with Put Foot Rentals and or have it checked at the nearest workshop before proceeding further or into remote areas

13. EQUIPMENT AND ACCESSORIES:

13.1 Put Foot Rentals do not manufacture the equipment and accessories but will make every effort to ensure equipment or accessories fitted or provided are of good quality. We cannot warrant or guarantee their performance or reliability.
13.2 If hirer experiences equipment failure, then contact Put Foot Rentals as soon as possible to arrange a replacement.
13.3 No tent is completely Mosquito proof so other precautions should be taken in Malaria areas. Zips which fail during the rental will not deem a tent unusable or validate the swop out of a tent unless otherwise agreed by the Put Foot Rentals.(right message, wrong wording).
13.4 Specialized equipment and equipment requests not within our standard vehicle configurations cannot be guaranteed. In the case we cannot provide certain equipment it is not deemed a breach of contract.

14. COLLISION DAMAGES AND ACCIDENTS:

14.1 All accidents must be reported to the local police within 24 hours.
14.2 Where collision damages render a vehicle unusable, a replacement vehicle can be supplied by Put Foot Rentals if available, but all costs are for the expense of the Hirer.
14.3 The hirer is responsible for the return of the damaged vehicle to the closest office.
14.4 No refund will be given for lost days due to collision damages. This limited to a maximum of 21 days from date of incident.
14.5 Should the Hirer continue with a new replacement vehicle then a new rental contract and insurance conditions will apply.
14.6 An administration fee of R550.00 is levied for the processing of any accident claims.
14.7 The exact insurance conditions and area of liability will also depend on the level of insurance selected.

15. INSURANCE:

15.1 Insurance cover is valid in the following countries; South Africa, Namibia, Botswana, Zambia, Zimbabwe, Malawi, Mozambique, Swaziland, and Lesotho. Vehicles may not be used outside of the aforementioned countries.
15.2 All insurance options include Third Party Insurance for RSA, Namibia, Botswana, Swaziland and Lesotho only. The standard excess also applies to damages to a third-party vehicle or property. Third party cover for any other country must be purchased at the port of entry.
15.3 Standard Insurance Cover, which is comprehensive insurance is included on all vehicles and in all rates quoted. This is not full insurance cover and includes Collision and Theft, with an excess of R20,000 |$1388 applicable. The excess is payable for any damage irrespective of the cause of damages.
15.4 Put Foot Rental Insurance Options offer increased cover with reduced excess for both collision and theft damages, as well as cover for damages (including windscreen and tyres). The cost of the Insurance Option 1 and Insurance Option 2 will vary depending on the duration of the vehicle hire period.
15.5 Insurance conditions or exclusions;

 15.6 Standard cover does not include;

  1. Towing costs outside of South Africa
  2. Tyre and windscreen damages
  3. The theft loss waiver
  4. The minimum insurance excess is payable for any damages or loss to the vehicles
  5. A double insurance excess, minimum R20000.00 applies for single vehicle rollover and single vehicle accidents with animals at night
  6. Water damages from submerging vehicles by exceeding wading depth is not covered
  7. Under carriage damages.

15.7 If Insurance Option 1 is selected and paid the following conditions apply;

  1. Towing outside of Namibia, Botswana, South Africa is not covered
  2. Tyre and windscreen damages are not covered
  3. Theft loss waiver included
  4. A reduced excess applies (50% reduction in collision damage excess)
  5. A double insurance excess, minimum R20000.00 applies for single vehicle rollover and single vehicle accidents with animals at night.
  6. Water damages from submerging vehicles by exceeding wading depth is not covered
  7. Undercarriage damages are not included if below the excess amount.

15.8 If Insurance Option 2 is selected and paid the following conditions apply;

  1. Towing outside the countries of South Africa, Namibia, Botswana, Zimbabwe, Southern Zambia (Livingstone district) and Southern Mozambique is not covered
  2. Tyre and windscreen damages included
  3. A zero excess applies for all normal accidents and theft loss or damage.
  4. A double insurance excess, minimum R20000.00 applies for single vehicle rollover and single vehicle accidents with animals at night.
  5. Water damages from submerging vehicles is not covered
  6. Undercarriage damages are covered.
  7. A small deposit is required on handover (ZAR2000.00) in the case of traffic fines or other losses which may not be covered as outlined below.

15.9 Should the vehicle be damaged beyond use or stolen, a replacement vehicle is not included in any of the insurance cover options. A replacement can be supplied depending on availability, but a new contract applies and all costs are for the Hirers account.

15.10 Water damages due to exceeding the vehicle wading depth is not covered by any insurance cover

15.11 Damages due to gross negligence or equipment losses are not covered by insurance.

15.12 A case number or police report is required by insurance for any incidents related to collision or theft loss or damage.

15.13 Insurance covers the direct cost of replacement of vehicle or equipment only (and not personal property). In the case of tyres and windscreen it covers the cost of the equal replacement of tyre or windscreen but no delivery costs, loss of time or any other consequential expenses are covered.

15.14 Any claim exceeding ZAR4000.00 must be authorized by Put Foot Rentals.

16. ROAD RESTRICTIONS:

16.1 Vehicles are allowed on all bitumen/tar and gravel roads as well as all public 4×4 tracks in South Africa, Namibia, Botswana, Zimbabwe, Zambia, Malawi, Mozambique, Lesotho, and Swaziland. Special permission is required for any other countries in Sub Saharan Africa.
16.2 The Hirer assumes all risk when travelling in extremely remote areas or on roads in a poor condition. If we are not able to recover the vehicle due to the topographical location or position of the vehicle, the hirer will be responsible. This may cause further delays in recovering the vehicle or offering a replacement
16.3 If we do not have access to an area. Example: national parks, reservations, private property etc then the hirer is responsible for the salvaging cost of the vehicle to an area where we have access.

17. AREAS WHERE VEHICLE USE IS RESTRICTED:

17.1 The vehicles used by Put Foot Rentals are not 4×4, and tare allowed on tarred / bitumen / blacktop roads and public gravel /dirt roads). The vehicle is not permitted to be used in thick sand, or for river crossings.
17.2 The vehicle may not be used in the following areas under any circumstances:

  • Savuti National Park, Botswana
  • Moremi National Park, Botswana

18. CROSS BORDER SURCHARGES:

18.1 A once off cross-border surcharge is applicable when leaving South African borders. This is a once off charge of R3,000 irrespective of how many borders are crossed for the preparation of official documents required to enable the hirer to cross at each border post. See the applicable fees below.
18.2 No surcharge applicable for Swaziland and Lesotho
18.3 The cross-border surcharge does NOT include any custom charges which are paid directly to customs at the relevant border or port of entry.

19.1 EQUIPMENT EXTRAS:

19.1 Additional equipment is available through Put Foot Rentals as non- standard vehicle equipment and in addition to the vehicle rental. This includes electronic equipment like GPS, winch and satellite phones. Put Foot Rentals may use outside suppliers for this equipment and cannot warrant the accuracy or reliability of this equipment. This equipment should be checked by the hirer on handover to ensure functional and should the equipment fail during the hire period it should be reported to Put Foot Rentals immediately, but we cannot guarantee replacement or repair and this will not constitute a breach of contract or affect the vehicle rental agreement. Put Foot Rentals will endeavor to refund the rental of such equipment from the date reported or authorize replacement at the nearest town centre where this is feasible. Equipment will be tested by the supplier or manufacturer to establish reason for failure and grounds for refund.

20. TRAILERS

20.1 Vehicles may NOT be used for towing of trailers without prior permission from Put Foot Rentals.

21. CHANGE OF VEHICLE:

21.1 If for reasons beyond our control, the reserved vehicle is not available, Put Foot Rentals reserve the right to substitute the vehicle with another vehicle in the same category or in a higher category. This shall not constitute a breach of contract or entitle the hirer to a refund.

22. PAYMENT

22.1 All payment should be completed by: Credit Card, or Electronic/Swift Transfer
22.2 Quotation is valid for 10-30 days, depending on payment (deposit or full) and subject to availability.
22.3 Payment will be charged in USD and exchange rate is subject to change at any time.
22.4 Includes all applicable taxes and levies.

23. CANCELATIONS:

23.1 Vehicle booking is only confirmed on receipt of the 15% deposit, or payment in full.
23.2 60 days or more notice: Deposit refunded, less a 20% handling fee.
23.3 30 to 60 days’ notice: The 15% booking deposit is non-refundable. If the total rental has already been paid, the balance less the deposit will be refunded.
23.4 Less than 30 days’ notice: Full rental will be due. 100% cancellation fee.
23.5 Group bookings of 3 or more vehicles: The 15% booking deposit is non-refundable unless 120 days, or more notice is given.

23.5.1 If, for reasons beyond our control, your reserved vehicle is not available, Mountainshak Ventures reserves the right to substitute the vehicle with another vehicle in the same, or higher, category. This shall not constitute a breach of contract or entitle the hirer to any refund.

23.6 Rentals cancelled within 48 hours of booking will not be subject to cancelation fees.

24 GENERAL:

24.1 The hirer is fully responsible for any damage or related costs to the Put Foot Rentals vehicle or third party if;
24.2 The terms of the rental contract are breached.

24.2.1 Damage to the vehicle or equipment caused by gross negligence or reckless driving.
24.2.2 Driving under the influence of drugs or alcohol or in any way that contravenes the prevailing law.
24.2.3 Water submersion or salt-water damage.
24.2.4 If the vehicle is abandoned and no contact is made by the Hirer to Put Foot Rentals.
24.2.5 Driving on restricted or closed roads.
24.2.6 Driving on dunes or offroad where no track is obvious.
24.2.4 Driving in restricted areas as defined by Put Foot Rentals – Para

PLEASE NOTE:

In the event of any error/miscalculation appearing on the quote or booking form, Mountainshak Ventures reserves the right to correct such error, and to invoice you in accordance with the advertised rates.
